Administrative Assistant / Microsoft Office Expert

Overview
Mission Minded is a marketing communications firm dedicated to helping nonprofits and other do-gooders.
As Administrative Assistant, your role will be to support the two founding partners of the company and the design director. Your primary responsibility will be to provide support in Microsoft Word by updating, revising, and creating proposals, reports and other documents. Absolute expertise in Word – not just proficiency – is a requirement for this position.
Other responsibilities will be varied: helping to prepare materials for presentations to clients, scheduling new jobs, drafting and editing client proposals, agreements and other documents, assisting with research, and scheduling appointments.
You are responsible for making sure every communication you create is produced perfectly every time. This is a job for someone who loves details.

You must be meticulous in your attention to detail, able to respond to critical feedback, and be a quick problem-solver. The ability to understand what people mean, not just hear what they say is a must.
This is a part time, contract position on an as-needed basis. You will be expected to work from your own office. You will use your own office technology including computer, software, and phone. This is not a job for someone who has never before worked without on-site supervision.
Responsibilities
- Work in Microsoft Word templates to make updates, revisions, and create new documents
- Support all team members, including research and design support work
- Draft, edit and proofread documents
- Manage project schedules and facilitate work flow
- Update databases
- Other duties as assigned
Requirements
- Expertise with Microsoft for Mac products, Adobe Creative Suite experience a plus
- Recommended two years experience working in a nonprofit organization, advertising agency, design firm, printing company or marketing agency
- Excellent written and verbal communication skills
- Strong team player
- Highly organized and detailed individual with a strong sense of urgency and an ability to effectively prioritize
- Extreme enthusiasm for customer service
- Experience working independently
- Must have own Macintosh computer and most recent Microsoft Office software
- Bachelor’s or equivalent years of experience
- Ability to lift up to 20 pounds on occasion
